Job Description

The Elisabeth Morrow School, a two-year-old through eighth-grade independent school in Englewood, NJ, seeks an Executive Assistant to the Head of School and Chief Financial Officer. This position is responsible for providing support to both the Head of School and Chief Financial Officer and for ensuring the smooth operation of their offices.

 

This is an exciting and creative opportunity that requires relationship building, organizational skills, strong judgment, and the ability to provide “air traffic control” with a range of stakeholders including trustees, parents, alumni, senior administrators, faculty, students and community members. 

 

Coordination of Communications & Calendar/HOS

Make appointments, organize meetings, schedule virtual meetings, and prioritize appointments. 

Keep Head’s calendar.

Screen Head of School’s mail, email, voice mail. 

Triage important messages to bring to the attention of the Head of School. 

Where appropriate, route people and correspondence to the Head’s senior staff.

Where appropriate, draft email responses for Head.

Prepare correspondence for Head’s signature.

Make travel arrangements for the Head and as necessary for key visitors.

Communicate with Head often and efficiently.

 

Coordination of Communications & Calendar/CFO

Make appointments, organize meetings, schedule virtual meetings, and prioritize appointments. 

Keep CFO’s calendar.

Communicate with CFO often and efficiently.

Coordinate projects with HOS and CFO. 

Make travel arrangements for the CFO.

 

 

Project Management:

Attend planning and administrative meetings and board committee meetings.

Keep a running list of HOS and CFO projects, upcoming events, and communications.

Solicit and coordinate input from senior leaders. 

 

Event Planning and Execution:

Assist with the details associated with planning all-school meetings. 

Assist in coordinating alumni events.

Calendar and coordinate speaking events for the Head from external marketing and fundraising engagements to smaller in-school events.

Support the preparation of the State of the School presentation and other Board reports.

 

Qualifications:

An individual who demonstrates 

  • a high level of organization, initiative, and attention to detail. 
  • excellent writing skills.
  • keen judgment and the ability to prioritize.
  • proven integrity and discretion.
  • a high EQ in communicating to all constituents with skillful sensitivity.
  • fluency in communicating with stakeholders including Board members, donors, students, faculty, parents, administrators from other schools, and officials from the wider community.
  • the ability to work independently.
  • resourceful problem solving.
  • knowledge of and experience in independent schools. 
  • a ready smile and a sense of humor
  • knowledge of and experience with Google and Microsoft Office programs; proficiency in word, excel, power-point, zoom, and a willingness to learn new software as needed.
