Position Summary
Ogletree Deakins has an opportunity for a Project Manager to join the Firm's expanding Corporate Accounting & Finance Department. The Project Manager (PM) is responsible for helping to drive the Program Management Office (PMO) by working directly in the implementation and efficient execution of all project-type initiatives at the Firm. The PM will provide portfolio level support of all internal operational projects across the Firm, working with and supporting project sponsors and owners.
Essential Functions
Define project scope, goals, and deliverables aligned with the Finance team's objectives in support of the Immigration business unit
Develop and execute project plans using consistent PMO methodology
Manage day-to-day project operations, scope changes, risks, and contingency plans
Communicate project status to Finance leadership, Immigration team members, and stakeholders
Partner with firm departments (Accounting, IT, HR, Operations, Client Service) to advance Finance and Immigration business unit objectives
Develop and deliver training, reports, and presentations for Finance and Immigration program participants
Support system integration initiatives, including case management implementation, Aderant integration, Self-Pay, and the Immigration Financial Tool (IFT)
Assist Finance directors with billing, collections, AP, and credits process improvements, including reconciliation frameworks, governance protocols, and workflow standardization
Coordinate fee schedule conversions and data migrations between legacy systems and Aderant
Support USCIS payment processing transition, including reconciliation procedures and internal controls
Facilitate matter intake design and deployment with accurate data flow into billing and reporting systems
Maintain technology roadmaps and coordinate cross-functional dependencies between Finance and Immigration workstreams

System Integration & Process Improvement Responsibilities (Immigration Business Unit Support)
System Integration & Case Management
Assist Finance directors in implementing and integrating the new case management system, with direct accountability for configuration planning, data migration, UAT, and phased rollout. Ensure interoperability and data integrity with existing Immigration practice technology.
Support Aderant integration initiatives, including technical coordination, configuration, data mapping, and interoperability with the new case management platform.
Assist in enhancements to the Self-Pay module, supporting workflow design, secure payment processing, and adoption reporting.
Assist in enhancements to the Immigration Financial Tool (IFT), including workflow optimization and system performance. Support fee schedule conversion from IFT to Aderant, including data extraction, mapping, validation, and reconciliation.
Support the design and deployment of the Matter Intake process, including intake workflows, approval hierarchies, conflict-check integration, and data flow into billing and reporting systems.
Process Improvements
Assist Finance directors in identifying and documenting process improvements across Immigration workflows, focusing on reducing redundancies, improving cycle times, and enhancing matter lifecycle accuracy. Support reconciliation frameworks for USCIS filing fees processed via credit card.
Support change management for new system implementations, including training plans, communications, and adoption tracking.
Billing & Collections
Assist Finance directors in improving the billing lifecycle, including template standardization, pre-bill automation, and quality controls to minimize write-offs and errors.
Support enhancements to collections, including aging dashboards, automated dunning, escalation protocols, and integration with profitability reporting.
Accounts Payable
Support Finance directors in transitioning USCIS payment processing from checks to credit cards, including reconciliation procedures and governance protocols (authorization controls, documentation, segregation of duties, audit trails).
Assist in managing the KPMG invoicing process, including review, approval, reconciliation against engagement terms, cost allocation, and adherence to firm AP policies.
Credits & Adjustments
Assist Finance directors in designing a standardized credits and adjustments workflow, including approval matrices, documentation requirements, and system configuration to track credits, write-downs, and write-offs.
Cross-Functional Coordination & Reporting
Maintain project plans, risk registers, and status reports, providing regular updates to Finance leadership and Immigration business unit stakeholders. Coordinate dependencies across Finance and Immigration workstreams, manage vendor relationships, and maintain a technology roadmap aligned with Finance and Immigration strategic objectives
Requirements
Bachelor's degree in Business Administration, Project Management, or related field with 4+ years of experience in a law firm or professional services Finance function.
Exposure to supporting immigration practice operations or legal technology implementations preferred.
PMP certification preferred.
Proficient in Microsoft Office suite, Document Management Systems, and common office equipment.
Experience with Aderant, case management systems, and immigration-specific tools (e.g., Immigration Financial Tool) preferred.
Proven ability to comprehend business objectives and execute operational strategies.
Excellent communication, organization, and presentation skills.
Strong judgment, self-motivation, and ability to work independently.
Comfortable working across multiple cultures and time zones.
Organized, detail-oriented, with strong client service orientation.
