Job Overview:
The Senior Portfolio Manager will oversee a portfolio of Commercial Property Owner Association accounts to ensure business is executed in a timely and accurate manner, in accordance with Association governing documents, Board policies, MarWest policies and procedures, Civil Code (and other state laws) and other applicable regulations. A successful Senior Portfolio Manager is a self-accountable, well-organized, ethical, professional, proactive person who takes pride in the appearance of the property and enjoys building relationships with boards of directors, owners, and tenants. The Senior Portfolio Manager creates a strong client relationship and is responsible for understanding and meeting client expectations. Senior Portfolio Manager Managers remain service-oriented, manage and execute daily tasks in a prompt manner, and are accessible and accountable. Senior Portfolio Manager Managers receive support from other Accounting Staff, Regional Leaders, IT, HR and Senior Leadership.
Compensation: $95-100k
FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.
Your Responsibilities:
The job duties listed are typical examples of the work performed by positions in this job classification. Not all duties assigned to every position are included, nor is it expected that all positions will be assigned every duty.
- Understanding of all property governing documents (CC&Rs, By-Laws, & Rules) and ensure all requirements are followed.
- Quickly gain a working knowledge of MarWest systems and networks (including Avid, Jenark or AppFolio, Connect, etc.), and assimilate standard operating policies and procedures.
- Proactive inspection of landscape and other common amenities and timely execution of necessary repair and maintenance activities and in accordance with our management agreement
- Respond in a timely fashion to owner / tenant requests for maintenance or compliance issues, or architectural change approvals.
- Gather detailed bids for major non-recurring projects, or for requested changes in recurring vendor contracts.
- Monitor the financial position of the association and present detailed, professional financial reports.
- Create and operate within budgets approved by the properties.
- Assess and monitor property needs: identify opportunities for improved communication or service delivery methods. Implement programs or improvements.
- Must be able to confidently and clearly run client facing meetings.
- Works collectively with leaders and colleagues on strategies to effect and implement new company procedures, policy changes, etc.
- Must be literate and articulate in written form in order to prepare correspondence.
- Must work effectively with co-workers, customers and others by sharing ideas in a constructive and positive manner; listening to and objectively considering ideas and suggestions from others; keeping commitments; keeping others informed of work progress, timetables and issues; addressing problems and issues constructively to find mutually acceptable and practical business solutions.
- Commits to attending designated company meetings and events as well as supervisor meetings, team meetings, and others as required.
- Must have reliable transportation and be able to drive (and/or fly by airplane) to various work locations.

Skills & Qualifications:

This individual is a leader in developing a strategy for retaining outstanding associates and presenting a strategy for recruiting good talent as the portfolio grows in different regions, as needed.
- Demonstrates excellent organizational and time management skills to meet deadlines and display efficiency.
- Can work well in teams and independently to solve problems, create solutions and operate efficiently.
- Strong written and verbal communication skills. Must be an "active" listener who can anticipate issues and drive for mutually satisfactory resolution.
- Working knowledge of Microsoft Applications, especially Word and Excel.
Efficiently work using a computer including various programs.
- Service oriented mindset, with multi-tasking abilities and flexible, resilient attitude.
- Must be able to instill confidence in board members and owners by being prepared and knowledgeable.
- Must be able to deal with conflict and work well under pressure.
Education & Experience:
- 6 or more years' property management experience, preferably with association/or commercial experience.
- Real estate license a plus.
- College degree preferred
- Business development experience

- Must be able to communicate both on the phone and in person with our clients in order to resolve issues and manage the business.
- Must have finger dexterity for typing/using a keyboard.
- Must be mobile enough to move around both the office in order to make copies, send mail and faxes and to walk around the property. This could include lengthy walks in uneven areas.
Supervisory Responsibilities:
- Staff Assignments as determined and may directly supervise on-site staff, full-time, part-time, and seasonal associates.
- The position is intended to work with other supervisors to train and develop that person responsible for the associate's performance. It is not intended to replace that role; and in fact, this position is required to report to upper-level supervisors the learning requirements/competencies and deliverables of said supervisors and/or associates.

Travel:
- Must be able to drive (or fly by airplane) to various locations for meeting, property inspections, client meetings, and training purposes.
- The portfolio is throughout the East Coast, including but not limited to, FL, GA, NC, KY and NJ and may include other states and regions as we grow. Our headquarters are in Irvine; occasional training opportunities will take place in Irvine.
