Description

ASUM invites applications for a Budget Analyst II to support ASUM Executives, ASUM Senate, ASUM student groups and ASUM Agencies.

Examples of Duties and Responsibilities

Examine, analyze, and interpret diverse financial records across multiple funds and organizations to finalize transactions, ensure compliance, support forecasting, and prepare financial statements and reports; develop and implement systems for tracking costs, inventory, and fund balances.

Identify financial trends and provide strategic, creative recommendations to improve performance and enhance student services while maintaining up-to-date knowledge of University and State policies.

Oversee and ensure accuracy of the annual budgeting process for ASUM student groups and agencies, managing over $3 million in combined budgets and preparing and submitting 100+ budget forms.

Initiate and manage purchasing, procurement, contracts, and lease negotiations, including preparation of bids and required documentation within GrizMart.

Track, record, and reconcile UM Foundation transactions, including deposits, withdrawals, and fund balances, and prepare all supporting documentation.

Serve as the primary accounting manager for ASUM, overseeing daily financial operations across multiple programs, completing fiscal year-end processes, preparing adjusting entries, liaising with campus departments, and monitoring compliance for 160+ student groups.

Provide advisory support for event planning, risk management, and business practices for ASUM-affiliated organizations, including participation in meetings and retreats.

Administer key operational functions including Pro Card oversight, payroll entry (GTO and EPAF), and coordination of travel arrangements and documentation for students and staff.

Minimum Qualifications

High School diploma and four (4) years of directly related accounting experience, or equivalent education and experience.

Demonstrated ability to work effectively with a large, diverse population of college students and maintain positive, professional interactions.

Ability to adapt to frequent change, including the annual turnover of student staff.

Extensive knowledge of accounting principles and practices (GAAP), budgeting, and financial administration, including balance sheets, trial balances, operating statements, payroll, accruals, adjustments, inventory, depreciation, allowances, and audit practices, with a high level of accuracy in detailed financial work.

Experience managing large, complex, and diverse budgets.

Knowledge of, or ability to quickly learn, State of Montana and ASUM fiscal policies and procedures, including purchasing rules, contracted services, cash handling, and intra-agency transactions.

Advanced proficiency in Microsoft Excel; intermediate proficiency in Microsoft Office applications; and experience with or ability to learn systems such as UMDW, Banner Finance, GTO, GrizMart, Griz Portal, U-Approve, Emburse, Axiom, and SharePoint.

Strong ability to track data and clearly communicate financial information, policies, and procedures to students and colleagues.

Proficiency in using standard office equipment, including copiers, scanners, fax machines, and telephones.

Preferred Qualifications

Experience using Banner Finance, GizMart, UMDA, GTO, Path, Emburse, Axiom.

Bachelor's degree.

Work Schedule: Full-time, 1.0 FTE (40 Hours a week), Monday through Friday 8:00 am to 5:00 pm, 12 months/year.

Probationary Period: Six (6) months minimum
